Introduction

With the Picking Web App, you can systematically prepare and release customer orders and shipments in the warehouse for picking. The Web App supports the creation, editing, release, and monitoring of picking orders, as well as the generation of picking lists that can then be processed on mobile devices. Picking orders reserve the required items in inventory, consider batches, expiration dates, and locked stock, and ensure that the correct items in the correct quantities are made available for shipment. Once a picking list is released, it becomes available in the mobile picking app; warehouse staff then physically retrieve the items using barcode scanning and clear instructions for packing or shipping stations.

Basic Concepts

First, the shipments that need to be picked are created or imported in the WebApp Picking. These shipments can be created manually, imported via a .csv file, or loaded directly into Bitergo WMS from an external system via an interface.

A shipment (or delivery) can be one of the following four types:

  • Delivery (SHP)
  • Delivery with Stock Keeping Units (SHP HU)
  • Internal (internal)
  • Internal with Stock Keeping Units (Internal HU)

The first two types, "Delivery" and "Delivery with Handling Units," are intended for orders that leave the warehouse and result in inventory changes. Use these two types for orders that leave the warehouse. If goods are to be moved specifically within the warehouse, you can use one of the two types: "Internal" or "Internal with Handling Units." These types are inventory-controlled because the inventory remains in the warehouse. Examples include:

  • Expired goods are to be picked and sent to a specific storage location for further processing.
  • Goods of a specific item with batches 1, 2, or 3 have a specific issue. To address this, all handling units with batches 1, 2, or 3 must be moved to a specific location so that a quality inspection can be performed.

After a new delivery is created, items (Type 1: Delivery) or entire stock units (Type 2: Delivery with Stock Units) must be added to the delivery using the "Items" function. The deliveries must then be released.

A delivery can have the following statuses:

  • Pending (if it has not yet been released)
  • Approved (after the shipment has been approved for picking)
  • Reserved (after a picking list has been created for the delivery. The created picking list must now be released for picking on the shop floor. Once released, the picking list appears in the mobile Picking app and can be picked by employees on the shop floor.
  • In Progress: When the picking list has been released for picking.

A delivery can be assigned a series of standard classifications that can be used to control specific process steps, such as printing a specific item label or a packing slip.

Furthermore, destination storage locations can be defined to which the picked goods are to be transported for further processing, for example, to a packing station or directly to a goods-out station.... A delivery can also be assigned a priority between 1 and 10. The priority number determines the order in which the delivery is processed relative to other deliveries. Priority "1" is equivalent to the "Express" setting.

Setting the picking strategy correctly is essential for optimized and efficient picking. Bitergo WMS offers a wide range of parameters and automation functions, as well as the ability to create multiple picking strategies that can be used depending on the order. Configuring the picking strategy is a process step that must be guided or managed by the Bitergo WMS Support Team.

After the picking lists have been released for picking, the picking process is continued and completed using the Picking Mobile App.

User Interface

The Picking Web App uses the standard Bitergo WMS Web App user interface. For more details, see the "User Interface and Navigation" chapter.

Header Menu

The menu icon on the right side of the header gives you access to the following general functions:

  • Show Navigation: Toggles the navigation pane on and off.
  • Preview Visible: Toggles the preview area on and off.
  • Import Delivery: Allows you to import a CSV file into Bitergo WMS containing deliveries you have created that are to be picked. In the dialog window, you can use the "Download Template" button to download a CSV file that you can use as a template to import your deliveries. Select the encoding format for the CSV file from the "Character Set" dropdown menu. The available character sets are ISO-8859-15 and UTF-8. Click the "Select File" button to choose a file, then confirm your selection by clicking "OK." The file name will appear in the dialog box. Click the "Upload" button to import the selected file. Once the upload is complete, the entries will appear in the Deliveries table.
  • Excel Export: Creates a generic export of the table displayed in the workspace. After clicking, a window opens where you can select the save location for the Excel file. Click "OK" to save the file to the specified location.
  • Change Language: Allows you to choose between German and English. After clicking, a window opens where you can select the language. You can confirm your selection by clicking "OK" or cancel the language selection by clicking "Cancel."
  • Automatic Settings: Allows you to enable or disable automatic processing and configure settings for the batch size and batch multiplier.
  • Picking Strategy: This dialog box is used to create and edit new picking strategies. Correctly configuring the picking strategy is essential for optimized and efficient picking. Bitergo WMS offers a wide range of parameters and automation functions, as well as the ability to create multiple picking strategies that can be used depending on the order. Configuring the picking strategy is a process step that must be guided or managed by the Bitergo WMS Support Team.
  • Picking List Process Queue:
  • Log Out: Logs the user out of Bitergo WMS and closes the app.

On the left side is the navigation panel, where you can switch between the categories "Shipments," "Picklist," "Transports," and "Equip" to view and edit them in the main workspace of the screen*. The "Transports" and "Equip" categories are not covered further in this documentation. Please consult the Bitergo Support Team for more information.*

Main Workspace

In the center is the main work area, where the relevant data for the category selected in the navigation bar is displayed in tabular form. Below the table are the function buttons that trigger specific actions related to all displayed data and/or only to selected rows.

Preview Area

To the right of the table is the preview area. This area displays all detailed information for an element selected in the main work area---in most cases, a selected row in the table.

Picking Function Areas

You can access the following functional sections via the navigation:

  • Shipments:
    The Shipments functional area displays all shipments that are to be picked. These shipments can be created manually, imported via a .csv file (using the menu in the header), or loaded directly into Bitergo WMS from an external system via an interface. Shipments can be created and edited in this functional area; for example, items or entire delivery units can be added to a delivery before it is released for the creation of picking lists....
  • Picklist:
    In the Picklist section, picking lists can be edited before they are released for picking.
  • Transports:
    The Transports section is not covered further in this documentation. Please consult the Bitergo Support Team for more information.
  • Equip:
    The Equip section is not covered further in this documentation. Please contact the Bitergo Support Team for more information.

Shipments

Main Work Area

The table displays all created or imported shipments that are to be picked. Each row contains all the information for a shipment, organized across different columns.

You can define which columns are displayed in the table by clicking the gear icon in the upper-right corner of the table. Filters can be applied in the upper-left corner above the table to display only specific deliveries. You can also create and save different table layouts. For more information, see the chapter on User Interface and User Experience.

By clicking on a row, you can select a shipment. This causes:

  • all detailed information about the selected delivery appears in the preview area, and
  • the corresponding function buttons located below the table are activated.

Shipments Functions

Below the Shipments table, you'll find the following function buttons:

  • "File Upload..."
  • "Edit Classification"
  • "New"
  • "Edit..."
  • "Delete..."
  • "Express"
  • "Positions..."
  • "Cancel..."
  • "Release Shipment..."
  • "Picklist..."

Some function buttons are only active if the status of the selected shipment in the table allows for that function.

"File Upload..." function:

This function allows you to upload a file that modifies the properties of the selected shipment. The required file format is CSV.

"Edit Classifications..." function

The "Classification" function button allows you to create and select delivery classifications.

Several standard classifications are available here that control process steps when processing a shipment, such as printing a delivery note, reprinting a label, printing an item- label, and more. These classifications affect parameters and processes in Bitergo WMS and cannot be set up without the assistance of the Bitergo WMS Support Team. Please contact the Bitergo Support Team if needed.

Clicking the "Classification" function button opens the "Classifications" window. On the left side of the window is a table listing the available classifications. The table consists of two columns: the first column displays the "Type," and the second displays the "Code." Each row represents a classification; a classification always consists of a "Type" and a "Code." The "Code" is the name of the classification, and the "Type" is a group of one or more "Codes." The name or "Code" must always be unique within a "Type," meaning each "Code" must have a different name.

On the right side of the window, there are two sections one below the other. The upper section is called "Types" and contains two buttons for creating ("New...") and "Deleting" "Types." The lower section is called "Classification(s)" and contains three buttons for creating ("New..."), "Editing," and "Deleting" "classifications."

"Types" section:

You can create a new "Type" using the "New..." button. After clicking "New...," the "Save Classification Type" window opens, displaying the "Name*" field and the "OK" and "Cancel" buttons. Enter the name for the new "Type" here. Clicking "OK" creates the new type; clicking "Cancel" cancels the operation....

"Classification(s)" section:

Use the "Classification" button to create a new classification for a previously created type. Clicking "New..." opens the "Save Classification" window, which contains the "Type*" drop-down menu, the "Code*" field, and the "OK" and "Cancel" buttons. In the "Type*" dropdown, you can select a previously created classification type. You can then enter the name for the "Classification" in the "Code" field. Clicking "OK" creates the new classification; clicking "Cancel" cancels the process. After confirming with "OK," the window closes and a new row appears in the table on the left-hand side with the newly created classification.

The "Classifications" window can be closed using the "Close" icon in the title bar or by clicking the "Close" button.

"New..." Function:

The "New..." function button allows you to manually create a new shipment with its associated properties. In this dialog box, all properties for the shipment are defined and then appear in

  • the corresponding columns in the table in the main workspace
  • the preview area on the right side of the screen.

After the shipment is imported via this dialog box or via a file upload, it can be edited using the "Edit" function button.

Clicking "New..." opens the "Shipment" dialog box. In the upper section of the window, there are several tabs that can be used to enter the various data for the new shipment. The asterisk at the end of a tab's name indicates that the corresponding tab contains fields that are required to create a new delivery.

You can close the "Shipment" window by clicking the "OK" or "Cancel" buttons. Clicking "OK" creates the new shipment notice, while clicking "Cancel" closes the dialog box without creating a new shipment. In this case, all entries will be lost. If not, all required fields are filled in, a new shipment notice cannot be created. In this case, the following error message appears: Required field(s): Information is missing or incorrect for: "Field Name," which indicates which fields have not been filled in.

The "Shipment" dialog box contains the following tabs:

Text/Label*:

The following fields/properties are displayed on the Text/Label* tab:

Number*:

(Required field)
The unique, internal delivery number. Bitergo WMS provides a number in the following format: "LIEFER-000000000". You can use this number or enter your own.

Type*:

(Required field, Type: Dropdown)
The following delivery types are available:

  • Delivery (SHP)
  • Delivery with Stock Keeping Units (SHP HU)
  • Internal (internal)
  • Internal with stock keeping units (internal HU)

Client

(Dropdown) -- Here you can assign the delivery to a previously created client (see Master Data). Select a client from the list.

Description

The description is a "descriptive" name for the delivery.

Remarks

A comment on the delivery; this can be a description or additional information about the delivery in text form. (Required field, Type: Text field)

Classifications

Here, you can select one or more previously created classifications that affect further processes for the shipment. These classifications influence parameters and processes in Bitergo WMS and cannot be set up without the assistance of the Bitergo WMS Support Team. Please contact the Bitergo Support Team if necessary.

Clicking the icon to the left of the field opens the "Edit Classification" dialog. The dialog consists of two lists. The left list is labeled "Available," and the right list is labeled "Selected." The left list contains all available classifications to choose from, while the right list contains the classifications selected for the shipment. Between the two lists are two buttons stacked one above the other with arrows; the top arrow points to the right, and the bottom arrow points to the left. These buttons allow you to assign classifications to either the left or right list. To do this, select a classification by clicking on it and then click one of the arrows to move it, for example, from "Available" to "Selected." After clicking the arrow, the classification moves to the selected list and is no longer available in the previous one....

Destination

In this drop-down menu, select the destination location to which the picked shipments will be sent for further processing. For example, this could be a packing station or directly a goods-out station. The individual locations that appear here are defined and set up in the system at this point.
(Required field, Type: Text field)

Status/Time*:

The following time-related attributes of the shipment are displayed under the Status/Time tab:

  • Priority: Enter a number between "1-10." "1" means that this shipment is treated with the highest priority. Level "1" corresponds to an "Express" shipment. Alternatively, you can assign the "Express" status to the shipment using the "Express" function key. The priority number determines the order in which the shipment is processed relative to other shipments.
  • Date of Shipment: Indicates when the shipment will be dispatched from your warehouse. The date can be entered manually here, but it is also set automatically by the system after shipment.
  • Estimated Delivery Date time: Indicates when the shipment is expected to arrive at the recipient's location. The date can be entered manually here but is also set automatically by the system after shipment.
Partner/Unit of Measure:

Under the Party/ Measure tab, you can specify which partners are involved in shipping the order and what the weight and volume of the order are.

The following options are available:

  • Consignor: (Dropdown) -- Here, you can select a shipper previously created in the master data.
  • Freight Carrier: (dropdown) -- Here, you can select a carrier previously created in the master data.
  • Gross Weight: The gross weight of the shipment can be specified in the following units: mg, g, kg, t
  • Net Weight: The net weight of the shipment can be specified in the following units: mg, g, kg, t
  • Volume: The volume of the shipment can be specified in the following units:

Recipient:

On this tab, you can select a previously created recipient for the shipment from a drop-down menu. After making your selection, you can enter additional details such as location, recipient's last name, first name, delivery contact, phone number, email address, delivery country, delivery ZIP code, delivery P.O. box, delivery city, delivery street, delivery house number, delivery building number, and delivery building name.

Invoice Recipient:

Under this tab, you can select a previously created invoice recipient for the shipment from a drop-down menu. After making your selection, you can enter additional details such as location, recipient's last name, first name (), delivery contact, phone number, email address, delivery country, delivery ZIP code, delivery P.O. box, delivery city, delivery street, delivery house number, delivery building number, and delivery building name.

Using the "New Partner Master" button, you can create a new partner directly here, which will then appear in the dropdown menu.

"Edit..." function:

Clicking the "Edit..." button allows you to edit the properties of the selected shipment. The "Shipment" dialog box opens, which is described in detail in the previous section.... You can exit the "Shipment" dialog box by clicking the "OK" or "Cancel" buttons. Clicking "OK" saves the changes and clicking "Cancel" closes the dialog box without saving the changes.

"Delete..." function:

Clicking the "Delete..." button allows you to delete the selected shipment.

"Express" function:

Clicking the "Express" function button assigns the highest priority for processing to the delivery. "Express" corresponds to priority level "1." When "Express" is clicked, "Express" is activated for the selected delivery, and the function button changes to "Remove Express." It acts like a toggle switch. You can use "Remove Express" to remove the "Express" priority from the selected delivery.

"Positions..." function:

Clicking the "Positions..." function button opens the "Shipment Lines" Screen. Here, you can add items from the product master to the shipment and specify settings for the selected items, such as quantity, batch, serial number, expiration date, and more.

The "Shipment Lines" screen is structured differently depending on the delivery type. If the delivery is of the "Shipment" type, the "Shipment Lines" window is structured as follows: The table on the left side of the screen displays the entire item master. As soon as an item is selected here, settings for that item can be configured in the middle section. At the very top of the middle section is the number of the current shipment. The following fields are available here:

  • Note: A note regarding the item
  • Lot: The lot number can be entered here
  • Serial Number: If an item is tracked by serial number, this field is enabled and the item's serial number can be entered
  • Expiration Date: If an item has an expiration date, this field is enabled and the date can be entered here.
  • Quantity: The delivery quantity for the item must be entered here.

Below this is the "Load" button. Clicking the "Load" button adds the line item to the delivery, and it appears in the "Shipment Lines" table on the right side of the screen.

Follow these steps to add one or more items to the shipment: Select the desired item in the left column, set the quantity, quantity type, and any other required settings, and click the "Load" button to add this item to the shipment. Repeat this process for additional items if necessary. After you have added all items, exit the "Shipment lines edit" screen by clicking the "Ready" button in the lower-left corner of the window.

If the shipment type is "Delivery with Handling Units," the Items window looks like this: On the left side is the area where you can select an entire stock unit from the warehouse, which you can then add as an item to the delivery by clicking the "Add" button. The stock unit will then appear in the table on the right side.

The following fields are available for selecting a handling unit:

  • Number
  • Item Master
  • Serial No. / Lot
  • Warehouse Type (dropdown)
  • Warehouse (dropdown)

You can enter the number of a handling unit in the Number field, the item number in the Item field, and select a warehouse type () or a warehouse using the dropdown menus. When you click the Refresh button, Bitergo WMS displays the corresponding storage units in the left-hand table---either those with this specific handling unit number, all handling units containing the item, or all handling units located in a specific warehouse type or warehouse.

Now select a handling unit from the left-hand table and click "Load" to add it to the shipment. If you want to remove a storage unit, select it from the right-hand table and click the "Unload" button in the middle of the window, below the "Load" button.

Click the "Ready" button to exit the Line Items window.

"Cancel..." Function

Use the "Cancel" button to cancel the selected shipment and remove it from the table.

"Release Shipment..." Function:

Before a shipment can be picked, it must be released. Click the "Release Shipment" button to release the shipment for the creation of a picking list. In the next step, you must click the "Picklist" button to create a picking list for the released delivery.... Once a shipment has been released, its status changes to "Released," and the button changes to "Revoke Release" when that shipment is selected. By clicking the "Revoke Release" button, you can revoke the release of the selected shipment. This changes the delivery's status back to "Pending."

"Picklist..." Function:

After releasing a shipment, you can create a picking list for it. By clicking the "Picklist" function button, you can create a picking list for the shipment. The Picklist dialog box opens:

The "Picklist" dialog box contains the following fields:

  • Description: Enter a description for the newly created picking list.
  • Note: Enter a note for the newly created picking list here.
  • Reservation* (required): Select one of the predefined picking strategies from the drop-down menu.
  • Destination: This field is only enabled after you have selected a picking strategy. The destinations defined in the picking strategy settings are then available for selection here. For example, a packing station, a goods-out station, or another location you have defined to which the picked goods are to be transported.
  • Destination Pick Positions* (required): Filled in automatically
  • Destination shipmentitemline Classification* (required): filled in automatically

Click "OK" to create the picking list or "Cancel" to cancel the process.

Once a picklist has been created, the delivery status changes from "Approved" to "Reserved." The "Reserved" status means that the items or entire handling units included in the shipment are now reserved and are therefore not available for other orders or shipments.

"Documents..." function:

Using the "Documents..." function button, you can generate documents for the shipment, such as a packing list or a delivery note. To do this, click the "Generate Packing List" or "Generate Delivery Note" buttons. Once these documents have been generated, you can print or download them in this window using the corresponding "Print" and "Download" buttons.

"Packing Templates..." function:

Using the "Packing Template" function button, you can select an existing packaging template for the shipment. You define these packaging templates beforehand in the WebApp Master Data.

Packing Lists

Main Work Area

The table displays all created picking lists. Each row contains all the information for a picking list, organized across different columns.

Filters can be applied in the upper-left corner above the table to display only specific picking lists. Using the "Completed" checkbox, you can display all picking lists that have been fully picked. You can also create and save different table layouts. For more information, see the chapter on User Interface and User Experience.

By clicking on a row, you can select a picking list. This causes:

  • all detailed information about the selected list appears in the preview area, and
  • the corresponding function buttons located below the table are activated.

Commi Lists Functions

Below the picking list table, you'll find the following function buttons:

  • "Edit..."
  • "Allocate"
  • "Delete..."
  • "Merge picklists"
  • "Cancel"
  • "Positions"
  • "Release"
  • "Print equip HU Label"
  • "Assignment..."

Some function buttons are only active if the status of the selected commission list in the table allows for that function.

"Edit..." Function

By clicking the "Edit..." function button, you can edit the properties of the selected picking list. The "Picklist" dialog box opens. It consists of three tabs:

  • Text / Label
  • Status / Time
  • Picking Information
Text/Label:

The "Text/Label" tab displays general information about the picking list: the delivery name, the picking list number, the description, and the note.

Shipment:

The shipment name is displayed but cannot be changed.

Number:

The number of the picklist is displayed but cannot be changed.

Description:

The list description can be edited here.

Remarks:

A note for the list can be edited here.

Status/Time:

The "Status/Time" tab displays the fields "Creation Date," "Modification Date," and "Status."

Creation Date:

Set automatically by the system.

Modification Date:

Set by the system.

Status:

Set by the system.

Picking Information:

The following fields are displayed on the Picking Information tab:

  • Tenant
  • Destination
  • Warehouse
  • Position-Count (Number of Item lines)
  • Reservation
  • Picking Strategy

Click "OK" to close the dialog box and save the changes or click "Cancel" to cancel the process.

Tenant:

Select a client here.

Destination:

If necessary, use the drop-down menu to change the destination to which the picked goods are to be sent.

Warehouse:

Set by the system; cannot be edited.

Position-Count (Number of Item Lines):

This is displayed here only and cannot be edited.

Reservation:

Change the reservation type. Consult the Bitergo Support Team to set up one or more picking strategies suitable for your processes. You can currently choose between:

  • FIFO
  • FIFO with unpacking
  • FEFO with original packaging
  • Picking Area
  • FEFO + CP
  • FEFO
  • Picking Area First
Picking Strategy:

Here you can change the picking strategy for this delivery

"Reserve..." function

Clicking the "Allocate..." function button opens the "Picklist lines edit" screen. Here you can split a picking list into multiple parts, change the destination for individual items, edit the quantities of items, add new items, delete items, and release the picking list.

Split:

Select an item from the list and click the "Split" function button to split the selected item(s) into a new picking list.

Destination:

Select an item from the list and click the "Destination" function button to define a new destination for the selected item(s).

New:

Click the "New" button to add a new item to the order list.

Edit:

Click the "Edit" button to edit the quantity of items in the line item.

Delete:

Click the "Delete" button to delete the selected item from the list.

.

Share comment list:

Click the "Release Picklist" button to share the Picklist directly from this window for further editing.

"Delete..." function

Click the "Delete" button to delete the order list.

"Summarize..." function

Select multiple picking lists in the table and click "Merge" to combine the individual picking lists into a single picking order.

The "Merge picklists" window opens.

Here, you can specify whether all picking lists or only selected lists should be combined. You can also determine which list types to include (single-quantity orders, multi-quantity orders, or single-item orders) and filter the lists based on criteria such as storage area, delivery classification, storage unit, batch size, and number of items.

"Cancel..." Function

By clicking the "Cancel..." function button, you can cancel the selected picking list.

"Positions..." Function

By clicking the "Positions" function button, you can view the individual items in the picking list.

"Release..." Function

By clicking the "Release..." function button, you can release the picking list for picking.
