Introduction
Inventory counting is a warehouse process used to verify physical stock and compare it with the stock data stored in the WMS. It helps ensure that inventory records are accurate, supports reliable picking and replenishment, and reveals differences caused by operational errors, damage, or other reasons.
The Inventory Counting App
The Inventory Counting Web App is the central starting point for the inventory process in Bitergo WMS. In the browser, users create inventory orders, define the count scope, and prepare the task structure for later execution on mobile devices. This makes the web app the planning and control layer for the full inventory workflow.
The Inventory Counting Mobile App is used for the actual counting process in the warehouse. It shows authorized inventory tasks on a handheld device and lets users enter counts directly at the location, which reduces manual transcription and helps transfer results into the system immediately. In this way, the mobile app supports fast, practical, and error-reduced counting on the warehouse floor.
Basic Concepts
A typical workflow starts with creating an inventory order in the web app, selecting the counting method, and preparing the count lists. The warehouse team then carries out the count with the mobile app, where locations, handling units, and item information are displayed as needed. After the count is completed, the system provides an overview of the results, including discrepancies and report data, so the warehouse can review differences and follow up in a structured way.
User Interface Inventory Counting Web App
The Inventory Counting Web App uses the standard Bitergo WMS web app user interface. For details, see the chapter on User Interface and User Experience.
Header Menu
The menu icon on the right side of the header gives you access to the following general functions:
- Navigation Visible: Toggles the navigation pane on and off.
- Preview Visible: Toggles the preview area on and off.
- Change Language: Use this option to switch the interface language between German, English or Spanish. A dialog window opens after clicking the button, allowing you to choose your preferred language. Click OK to confirm or cancel to discard your selection.
- Log Out: Signs you out of Bitergo WMS and closes the application.
Navigation
The navigation panel allows you to switch between the categories "Inventory Count," "Inventory Count Take in", "Inventory Count Evaluation", and "Inventory Count Protocol" to view and edit them in the main workspace of the screen.
Main Work Area
The main workspace in the center of the screen displays the data for the category selected in the navigation panel in tabular form. The function buttons below the table let you perform actions either on all displayed records or on selected rows only.
Preview Area
The preview area is located to the right of the table. It displays the detailed information for the element selected in the main work area, usually the currently selected row in the table.
Inventory Counting Function Areas and Workflow
You can access the following functional areas via the navigation:
- Inventory Count:
In the Inventory Count Function Area you can create a new Inventory Count Order, define its settings and add the inventory count lines. You have the option to create an item inventory order or a bin location stocktaking inventory order (excluding or including empty bin locations in the count). After you have created and defined the order, you must release it for it to appear in the mobile app. From this point on, the order can be processed by the warehouse staff on the shop floor. You can even print a paper inventory order out, the staff can count the items by hand and then you can take in the values manually in the web app if you prefer. - Inventory Count Take in:
Here you can access the released inventory count orders and take in counting. This means that you can manually enter the counted items in the UI. - Inventory Count Evaluation:
In the inventory Count Evaluation Area you can access completed inventory count orders and evaluate the counting. If the counted items defer in quantity from the quantity that are registered in Bitergo WMS you have to decide if you will- accept the counting
- or give a recount order
After having accepted the count you need to close it, to complete the inventory count order.
- Inventory Count Protocol:
A closed and completed inventory Count appears int the Inventory Count Protocol Area, which gives you an overview over the inventory counts. You can export the results as an xls. File.
Step-by-Step-Instructions
Step 1: Create a new Inventory Count
Go to the Inventory Count Function Area by clicking on Inventory Count in the Navigation.
Click the "New..." Function Button underneath the main table to create a new inventory Count order.
The Inventory Count Modal appears with the tabs "Text/tag", "Status/time" and "Control".
Enter a description or note in the first tab and define the type of Inventory Counting in the third tab called "Control".
You can choose between:
- an item master inventory count (item inventory): Choose this if you want to count the quantity of a specific item (article).
- a bin location inventory count (excluding empty bin locations)
- a bin location inventory count (including empty bin locations)
Click OK to create the new Inventory Count. After clicking new, the modal closes and the newly created inventory count appear in the list in the main area.
Step 2: Add the inventory count lines
Click the "Inventory Count Lines..." Function Button to select which item or which bin locations shall be counted in this counting order. The Inventory Count Lines Screen opens.
Click the "Generate..." Function Button to generate the inventory count lines. The "Generate inventory Count lines" Modal opens.
Choose which item shall be counted and click "OK".
After clicking "OK" the modal closes and all bin locations that contain handling units which contain the selected item/ article appear now in the list. These are the generated inventory count lines.... 
If you have selected a bin location inventory you need to choose a warehouse, a warehouse type and optionally you can directly enter a bin location.
If you have not entered a specific bin location all bin locations that are contained in the warehouse type, will be added as inventory count lines to the list.
Select all the bin locations you do not want to include in the inventory count and click "Delete" to remove them from the list.
Click "Done" to close this screen and return to the Inventory Counts Screen.
Step 3: Release the inventory count
Select the the newly created inventory count and click the function button "Release..." to release this order for counting on the shop floor. A modal opens. Confirm the release of the inventory Count by clicking "OK".
Step 4: Print the inventory count order
Click the "Print" function button to print a pdf of the inventory count list, if the counting will be done manually. Otherwise use the Inventory Counting Mobile App to perform the Counting.
Step 4: Perform the inventory count
Perform the inventory counting on the shop floor using the mobile app. Please refer to the Inventory Counting Mobile App for detailed information and step-by-step instructions. If the counting results are noted on the printed pdf, you can also take in the counting in the web app.
Step 5: Take in the Inventory Count
A released inventory count order appears in the list of the Inventory Count Take in Area.
If you are not using the mobile app, select the order in the list and click on "Inventory Count Lines..." to take in the counting.
The "inventory count line take in screen" opens and the inventory lines appear in the table. On the right you will find the column "Counted Value" Enter the counted value of the items in this column, in the corresponding rows. Every row shows one specific handling unit, that contains this item. Click "Save Count" to close the screen and save the Count.
Step 6: Control and evaluate the Inventory Count
A finished counting order will appear in the "Inventory Count Evaluation Area". Select it and click the function button "Inventory Count Lines" to evaluate the counting and to check if the Counted value is the same as the booked quantity in Bitergo WMS of the item on that specific handling unit at that specific bin location.
Compare the Columns "Booked Quantity" and "Counted Value" to evaluate. The column next to the "Counted Value" Column is called "Difference Quantity" and shows the difference between the booked quantity and the counted value.
Step 7: Choose to Recount or to accept the Count
If the counted value differs from the booked quantity and you do not know the reason, you need to either order a Recount or to accept the Counting with the difference.
Click "Recount" if you want to order a Recount. This will release the Inventory Order again with the Status "Recount" for counting in the mobile app.
Click "Counting Accepted" if you want to accept the results of the counting. The modal "Counting Accepted" opens, where you need to add a comment, which explains why you accept a counting difference.
After the Recount you need to click on "Counting Accepted" to finish the process.
Step 8: Close the inventory Count.
After having accepted the count, you will be redirected to the inventory count evaluation screen. Select the inventory count row and click "Close Inventory Count..." to complete and finish the inventory count.
A closed and completed inventory Count appears int the Inventory Count Protocol Area, which gives you an overview over the inventory counts. You can export the results as an xls. File.
