Introduction

Inventory Counting Mobile App

The Inventory Counting Mobile App allows the warehouse staff to conduct inventory counts on the shop floor, for which inventory orders have been created in the Inventory Counting Web App.

Basic Concepts

Bitergo WMS offers two kinds of inventory counting methods

  • Item inventory
  • Bin location stocktaking

For an item inventory order the quantity of a specific item is counted in preselected and defined warehouse areas.

For a bin location stocktaking order, all items contained on handling units contained in specific bin locations are counted.

The inventory orders are defined and customized in the Inventory Counting Web App. After release, they appear in the Inventory Counting Mobile App and can be conducted by the warehouse staff. After completion of the inventory count the results can be viewed, evaluated, corrected and exported with the Inventory Counting web app.

User Interface

The Inventory Counting Mobile App uses the standard Bitergo WMS mobile app user interface. For more details, see the document on User Interface and User Experience.

Step-by-Step Guide to the App

Login

You can log in to the app in two ways:

  • by manually entering your user credentials
  • by scanning your personal QR code from the Bitergo WMS user portal

Manually entering your login credentials

In the "User" field, enter the email address you used to register with Bitergo WMS, and in the "Password" field, enter your password. Click the "Login" button to log in to the system. You will be logged in and redirected to the app's home screen. If necessary, you can use the "Change Server" button to manually enter or change the server address of your Bitergo WMS.

Scanning Your Personal QR Code

Click the QR code icon to open the camera. Log in to the user portal using a browser on another device and scan your personal QR code with the camera. It contains your user information, password, and the server address. As soon as the QR code is scanned, you will be logged in and redirected to the app's home screen.

Home Screen: List of Inventory Count Orders

On the home screen of the Inventory Counting Mobile App you will find a list of all released inventory count orders. Select an inventory count order to conduct it. You will be directed to the next screen.

In the header, you will find the following information:

  • The sidebar menu: Using the sidebar menu, you can log out, view the legal notice, or adjust settings; for more information, see the "Sidebar Menu" section.
  • The page title: "Inventory Count"
  • Refresh Icon: Press it to reload the page and any newly released inventory count orders will appear in the list.

In the main area the following information is displayed for every order:

  • Inventory Count Order Name / Number
  • Count Type:
    • Item Inventory or
    • Bin location stocktaking
  • Description: A description of the inventory order, which has been created in the web app.
  • Position(s): The number of positions that needs to be counted.

Inventory Order Screen

Depending on the kind of inventory order you have selected one of the following screens will appear:

  • Item Inventory Order Screen
  • Bin Location Stocktaking Order Screen

Item Inventory Order Screen

In the Item Inventory Order Screen, a list of all the handling units containing the item that needs to be counted is displayed. The list is sorted by bin locations. Press on a handling unit to start the inventory count.

 

In the grey areas the following information is displayed:

  • The name/number of the bin location
  • The bin locations processing status, indicated by a coloured circle:
    • A blue circle means that the handling units in this bin location have not been counted yet.
    • a green circle means all items in this bin location have been counted.
  • The number of items that have been counted

By pressing on the grey area, you can collapse or expand it and either hide or show the handling units stored at this bin location.

 

Underneath the grey bin location area all the handling units are listed, that contain the item that needs to be counted. The following information is displayed:

  • The handling unit number
  • The item number that needs to be counted:
  • The Counted quantity: The number appears after you have counted the items and entered the quantity.
  • A coloured status circle, indicating the status of the count:
    • blue: Counting has not started
    • green: Counting finished

In the header, you will find the following information:

 

  • "Back" Arrow: Press to return to the List of inventory count orders screen
  • The name/number of the inventory count order
  • "Refresh" Icon: Press it to reload the page
  • The additional menu with the following options
    • Open all: Expands all bin locations and shows the contained handling units
    • Close all: Collapses all bin locations and hides the contained handling units
    • Open unfinished orders: Expands only the bin locations that have not been counted yet
    • Scan...: Press "Scan..." to scan a handling unit number

After an inventory count is finished the Item Inventory Order Screen looks like this:

The status circle next to every bin location is now green, showing that all positions have been counted.

Bin Location Stocktaking Order Screen

In the Bin Location Stocktaking Order Screen, a list of all the bin locations and the contained handling units is displayed. Press on a handling unit to start the inventory count.

 

In the grey areas the following information is displayed:

The status circle next to every bin location is now green, showing that all positions have been counted.

Item Count Screens

 

 

After pressing on a handling unit in the list the Count Screen opens and the actual inventory count process starts. Every position that needs to be counted is displayed on one screen. Go to the designated bin location and count how many packages of the depicted item are stored on the displayed handling unit. After counting the quantity of an item on the handling units, enter the counted quantity and unit in the Quantity and Unit fields. Swipe right to move to the next position.

In the header you will find the following:

  • "Back" Arrow: Press to return to the List of inventory count orders screen
  • The name/number of the inventory count order
  • "Cancel Position" Icon: Press it to cancel this position and remove it from the inventory count order. Confirm with CANCEL or press ABORT to abort the cancelling. The Cancel Position Icon is inactive after you have entered a quantity in the quantity field.



  • The additional menu with the following options
    • Add HandlingUnitLine
    • Add HandlingUnit
    • Change Quantity: Press this option if you need to change the quantity after having counted.





 

In the main area of the Count Screen, you will find:

  • The number of the position that is currently visible on the screen, for example 1/5, 2/5, 3/5, 4/8 etc. The first number stands for the current displayed position and the number after the slash stands for the total number of positions to be counted. A coloured progress bar over the position number gives a visual indication of the same information.
  • an image of the item that needs to be counted
  • the item number field
  • the bin location number field
  • the handling unit number field
  • the Lot field
  • the inventory count status of this position.
    • In process: before counting
    • Counted: after you have entered a quantity

At the bottom of the screen, you will find the "Quantity" and "Unit" fields. Here you can enter the counted quantity of the current item and the unit.

After having entered the quantity and having pressed "Enter", the next position to be counted will be displayed. You can swipe left or right to move between the positions.


 

After having counted all positions, the process is completed and you will be directed to the previous screen with the list of the bin locations.

Instructions for conducting an Item Inventory count or a Bin Location Stocktaking Order Count

Step 1: Select an Inventory Count order

Select an inventory count order of the type "Inventory Items" from the list of released inventory count orders.

 

You will be directed to the next screen.

Step 2: Go to the specified bin location and locate the first handling unit from the list.

After having located the bin location and handling unit, press the handling unit number in the list to start the counting process.

 

 

Step 3: Count the items on the first handling unit

Count the packages of the displayed item on the handling unit and enter the counted quantity in the "Quantity" field and if needed change the unit type in the "Unit" field.

 

 

Step 4: Count the items on the next position

Go to the next bin location, which is displayed on the screen, locate the displayed handling unit and count the packages of the displayed item. Enter the counted quantity in the "Quantity" field and if needed change the unit type in the "Unit" field.

Step 5: Repeat the process for the remaining positions

Count all other items as displayed on every screen and enter the counted quantity in the "Quantity" field and if needed change the unit type in the "Unit" field.

 

After having counted all items, you will be directed to the inventory order list.

Click the menu icon in the upper-left corner to open the sidebar. In the sidebar, you'll see your email address---the one you used to log in to Bitergo WMS---at the top of the header. Below that, you'll see three menu items:

  • Log Off: Click "Log Off" to log out oaf the app.
  • Imprint: The legal notice, additional information about Bitergo WMS, and contact information for the support team.
  • Settings (in the Administration category)

Settings

On the Settings page, you'll find the following entries:

Category: Administration

  • Language: Sets the language of the app's interface. The app must be restarted for the change to take effect.
  • Address: Displays the server address.
  • Send Log: Sends the error log to the server.
  • Reload System Properties: Reloads the system properties from the server

Category: Scanning

  • Scan Prefix: Sets a prefix after which the input field is cleared.
  • Scan Postfix: Specifies a postfix after which the input field is cleared.
  • Send Enter after Pre- and Postfix: Triggers an Enter key event after the pre- and postfix have been registered in the scan.
  • Remove leading zeros: Removes leading zeros from the scanned barcode

Category: Device Settings

  • Camera: Enables the device's camera for use by the app.

Category: Handling

  • Fast Counting: Automatic continuation during counting. When this radio button is enabled, the next position appears automatically after the user has entered the quantity for the current position.
  • Shortened List: Displays only the inventory items that still need to be counted.
  • Scan serial number: Scan serial number for confirmation
  • Scan item: Scan of item is required
